Currently, for our Procurement workflow (Inbound; Counterparty paper type), we only have Company signer set up - no Counterparty signer set up in the workflow.
This is because, if we set up a Counterparty signer, then that would have to be a question to the Launch Form, but 99% of the time, the person filling out the Launch Form does not know the Counterparty signer details at that moment. We want to limit friction at the Launch Form moment (to encourage people to kick off a workflow as early as possible) & instead wait until the Sign step to introduce the need for Counterparty signer details.
The problem we have is two fold:
- If we use Ironclad/Docusign to send out for eSignature, the Signature Coordinator usually forgets to add the Counterparty signer at the Sign step & sends out the Signature Packet to the Company signer only. Then when the Archiver is reviewing in the Archive step they realize it is not fully signed. Oops!
- If the counterparty asks to send it out from their Docusign, the Signature Coordinator usually will upload a fully signed PDF, but also forgets to add the Counterparty signer at the Sign step, so the metadata shows that there is no Counterparty signer.
Lastly - even the system does not allow someone to add a new Signer during the Place Tags moment. They need to exit Place Tags, add a New Signer, then go back into Place Tags. So it adds to the confusion.
Obviously having Signature Coordinator instructions would be helpful - but that is a
feature request. We could do more training, but people tend not to care to learn until the moment they need to know the info (ie the moment they need something signed)
How do you all handle this?
