It would be really helpful to be able to store all contracts and ancillary documentation together. Our global company can have 100's of letters/communication going back and forth with a counterparty or subcontract, certificates, insurance documents, and others, that all need to be tracked along with the initial Contract. I've now uploaded near 500 legacy documents (including contracts) into our repository to see what naming convention, tagged data and how relating documents will be helpful to use in narrowing down searches. We've even included a 'Purpose' Field to use as a Project Name field to help filter our searches by project.
I'm running into a few concerns with not having a foldering system (besides there being one long list of documents), one of the biggest being the permission settings. We need to filter down permissions by country and 'project' not by file type, i.e. our US entity needs to see projects happening in the US and UK in UK etc. On top of that, some spreadsheets need to be locked to a majority of users but not other spreadsheets (so to drill down to locking specific files). I also see us having trouble sticking to the naming convention (so the documents remain searchable) when multiple groups need to be able to save various documents. If there was a foldering system the documents would all be organised, naming convention wouldn't be a concern and permissions could be set per folder.
Hoping this is something that could be in the works!?
Happy Holidays!
