Position Overview
In this newly created role, the Legal Operations Coordinator will provide key support to the growing Legal department’s day to day functions as well as longer-term projects and initiatives. Protos’ work environment is fast-paced, and this role will ensure the legal team is efficient, highly responsive to internal stakeholders, agile and well harmonized to achieve desired outcomes. The Legal Operations Coordinator will primarily support Protos’ Vice President and Associate Counsel (“VP”) and Commercial Contracts Counsel (“CCC”). The Legal Operations Coordinator will be based in Norwalk, Connecticut, and report to the Vice President of Legal.
Core Responsibilities
- Proactively assess, clarify, and validate legal needs on an ongoing basis, communicate those needs internally, and develop plans designed to move projects forward. Serve as lead for Legal Department’s weekly “Touch Base” meeting.
- Oversee and support certain administrative duties in the Legal department including scheduling meetings, fielding phone calls, data entry, and other related tasks as directed.
- Advise Sales Team members with respect to contract policies, use of form contracts, standard provisions, contract terms, preparation of contracts for signature/execution and other issues.
- Initiate and prioritize ongoing efforts to improve departmental speed and simplification (document management, automation, tracking, project management, workflow coordination, etc.)
- Act as the Legal Department’s first point of contract for internal and external queries not related to litigation. Be responsive to multiple internal clients by establishing strong communication, providing appropriate support, and acting in a professional and collaborative manner.
- Triage Legal Department’s mailboxes which includes identifying issues raised in emails, undertaking preliminary follow up if needed, proposing actionable tasks for resolution when escalating emails to internal team members as needed, and providing status updates to all stakeholders regarding response time/resolution.
- Maintain up-to-date files of operative agreements for c-suite, external auditors, etc.
- Meet with Legal Department to provide support on workflows, outcomes, and follow up on issues requiring attention or which remain outstanding.
- Prepare reports, presentations, forms, etc. as needed with supervision of VP and CCC.
- Partner with VP and CCC to manage the contract queue, prioritize urgent requests when necessary and assign appropriate team member to handle the matter.
- Manage own contract queue for archiving newly executed documents into internal systems and Contract Management Database.
- Perform additional functions, duties and specific tasks of a similar nature and scope as necessary to achieve assigned business objectives.
What You Will Bring to the Role - Education, Skills, and Experience
- Prior experience working with legal operations software and/or an enthusiasm and willingness to quickly learn AI-based products that automate manual/routine tasks typically performed by legal professionals. Examples include customer relationship management (CRM), case management systems (CMS), legal case management, workflow automation, document & file management, and legal calendaring.
- Experience utilizing contract management software highly preferred; please specifically highlight if you have prior experience with Ironclad.
- Bachelor’s degree and 2 years of related professional experience; or Associate’s degree and 5 years of related professional experience.
- Related professional experience can include, but is not limited to, prior experience as a program manager, legal project coordinator, legal administrator, procurement analyst/specialist, contract, compliance and/or risk management specialist, or paralegal, in an in-house, business, or firm setting.
- Demonstrated ability managing projects/processes, with a focus on proven success achieving project goals despite competing viewpoints and interests.
- Strong Microsoft Office suite aptitude and ability including Word, Excel, Outlook, PowerPoint, Teams, etc. as well as strong facility with web-based platforms.
- Excellent interpersonal, oral and written communication skills.
- Self-motivated, proactive, detail-oriented, excellent time management, process driven and enthusiastic.
- Ability to manage multiple projects with competing priorities at the same time, including strong problem-solving and analytical skills.
- Excellent judgment on business and legal matters, including knowing when to escalate issues to the attorney level or a senior business team member.

- Travel Overnight domestic travel may be required for conferences and meetings. Travel is expected to be less than 10%. A valid driver’s license is required.
Compensation: Compensation includes a competitive base salary and potential discretionary, performance-based year-end bonus. The Company offers a competitive benefits package including medical, dental, vision, disability, 401(k), PTO, etc.
