We're hoping to help our finance team automate a step in the procurement process which won't burden us with more admin or disturb the current flow of the process. When we have a new supplier, they are required to fill in a new vendor form and send it to our finance team. Currently, the supplier raises an invoice and finance figure out that they are in fact a new vendor and send them the form.
The ideal scenario would be an automated email which would go out at signature to the supplier with the correct vendor form attached (eg. UK entity for European suppliers or US entity for US suppliers), which they can send back to finance. The only attachment I can find to go on an auto email is the draft contract, it doesn't allow other attachments.
Attaching it as part of the signature packet isn't suitable and I think a counterparty form may hold up the process. In the case we did use a counterparty form, would their answers collect into the 'Info' part of the dashboard and therefore not be convenient for finance to view as it would be mixed with the contract info?
Any suggestions on a workaround for this?
