Hi, all!
All of our user groups (Legal, Procurement, InfoSec, Privacy) have asked that their entire group be notified when a workflow Approval is assigned to their group (instead of only the default user for the group). Ironclad's official "solution" to this recommends creating a user in Ironclad for a distribution list (like Legal_Approval@yourcompany ), which would send the notification to that distro list, and the first responder to log into Ironclad could reassign the Approval to themselves (or to another user). When we reported this back to those groups, it was immediately pointed out that this approach consumes licenses (since the distribution list "user" is a Standard User), and they pointed at examples of other products, like Coupa, where an entire group is notified that there is a pending approval for their group.
Our idea is to add another option to the "How will the approver be assigned?" pulldown (along with "Assign to a group's default user", or "Assign manually") that would notify all users, and the first responder could then reassign to themselves or another user.
Then, when the Workflow is launched, the Approval would show the Group instead of a particular user AND the Approve button would not appear, and the logged-in user who is a member of that Group (and Admins) would be able to reassign to themselves or to another authorized user.
With respect to those who came before us:
