I'm trying to improve our signature coordinator process and reaching out to see if anyone might have some ideas to try.
Problem: our workflow approvers fall into 4 regional category groups. The workflows get distributed to the 4 regional groups and then someone from the assigned group goes in and assigns it to themselves to work on. Come signature time, the person who assigned it to themselves now has to assign themselves as signature coordinator again and Legal Signer again. Does anyone know of a way to automate this so that the legal reviewers don't have to keep assigning themselves in each step?
Example problem scenario: a workflow gets launched, since it is the AMER region, it gets assigned to the AMER Ironclad Group, someone (Amy) from the AMER Ironclad Group assigns it to themselves to work on. Upon approval, Amy has to assign the signature coordinator role and the legal signature role to herself because it gets defaulted to the AMER Ironclad group. Ideally, there would be a way for Amy to be automatically be assigned to both roles without her having to click into both roles to assign them to herself.
What I've tried:
- setting the signature coordinator to the AMER Approver Role but this doesn't let me add multiple roles for other regions.
- setting the signature coordinator to "Advanced Conditions" however, this only gives me the ability to assign to a group (not a role) leaving me back at square one of the approver having to assign themselves from a group.
I think I could potentially set the signature coordinator to = legal signer but I'm not sure how to default the legal signer to the person from the group that assigned it to themselves. Appreciate any insights or trouble shooting ideas you may have!
