So I decided to try and understand/get some value out of the new "Entities Management" feature recently released. So far I have found it to be hard to use and with little value.
Here are some of the difficulties I have found in my Entities journey so far:
- Manual entering of existing entities to the Entities Tab with relevant data you want in your entity snapshot (cannot be done in bulk, only one by one)
- Manual connecting existing Records with the relevant created Entity so that you can see all your contracts for that entity under the Entity Tab (can be done in bulk w/metadata import after creating Entities)
- Manual adding new "Entity" question to existing Workflows to enable Entities Management going forward so those Records will connect to the Entity
- Automatically added to any new Workflow created
- Does not automatically sync data from Workflow for an Entity with the data in the Entity Management Feature (e.g. if an address or point of contact is updated)
- A new "Entity" is not created through a new Workflow launched; this would need to be done manually to add the Entity
What I would want (or perhaps just don't understand how to do):
- IC to offer Admin a "recommended" list of "Entities" to add based on the Company's existing counter parties within the repository (preferably those with active contracts). The Admin can then confirm which recommended Entities should be added to the Entity Management (including pulling the relevant data from the completed workflow). Admin should function just as a QA on IC's system recommendations.
- Once an Entity is created - IC should pull all relevant Records in based on Counterparty Name (again removing the need for manual work and relying on the existing data in IC)
- Allow new Entities to be created through workflows (if "new Entity"). It can be that this is approved at the Archive stage if the Company wants to create a new "Entity" for the counter party in this workflow.
- Automatic sync between any updated Entity data created in a Workflow for an existing Entity to the Entity Management data.
- Have more seamless connection in Launch Form (to not overburden users).
Would love some insight if anyone else has figured out tips/tricks/best use cases.
